This Privacy & Confidentiality Policy explains how Quoorum Pty Ltd ("Quoorum", "we", "us") collects, uses, stores, and protects personal data and submitted content in connection with its services.
Quoorum operates as a professional, curated editorial translation service. Confidentiality and discretion are fundamental conditions of the service and are treated as editorial and professional obligations.
Quoorum is committed to maintaining a high standard of professional secrecy. We recognise that the manuscripts and documents entrusted to us represent significant intellectual and creative effort. This policy is designed to ensure that submitted works remain the exclusive property of their authors and rights holders.
This policy applies to visitors to the Quoorum website, clients and prospective clients, and any individual or entity submitting manuscripts, texts, or documents to Quoorum.
This policy is separate from, and complementary to, the Legal Notice & Terms of Use and forms part of the overall contractual framework governing the relationship between Quoorum and its clients.
Quoorum collects only personal data that is strictly necessary to provide its services, including name and contact details such as email address, information required for project communication and billing, and correspondence related to a project.
Quoorum does not engage in behavioural tracking, profiling, or the collection of unnecessary personal information.
All manuscripts, texts, and documents submitted to Quoorum remain the exclusive property of the client at all times.
Quoorum does not acquire any ownership, licence, or usage rights over submitted content beyond what is strictly necessary to perform the requested translation services.
Submitted content is not reused, published, disclosed, or distributed outside the scope of service delivery. It is not used for training, improving, benchmarking, or testing any models, systems, or tools.
Confidentiality of submitted works is treated as an editorial obligation, not merely a technical or administrative constraint.
Access to submitted content is strictly limited to Quoorum's internal team members directly involved in the execution of a project and, where strictly necessary, to trusted parties bound by equivalent confidentiality obligations.
Access is granted solely for the purpose of delivering the agreed services.
Submitted content is accessed and processed exclusively for the execution of the client's project.
Quoorum does not analyse, exploit, or process submitted content for any purpose unrelated to the delivery of the agreed services.
Quoorum does not retain client manuscripts longer than necessary.
By default, submitted manuscripts and related project files are retained for a strictly limited period following delivery. Unless otherwise requested by the client, all submitted content and related files are securely deleted from active production systems within seven (7) days after delivery of the translated work.
Extended retention may occur only at the explicit request of the client or where temporarily necessary to address post-delivery support or corrections.
Quoorum does not maintain long-term archives of client manuscripts.
Administrative and billing information may be retained for legal, tax, and accounting purposes in accordance with Australian law.
Quoorum implements reasonable administrative and technical measures designed to protect personal data and submitted content against unauthorised access, disclosure, alteration, or loss.
While no system can guarantee absolute security, Quoorum applies a level of care consistent with the confidential, professional, and editorial nature of its services.
Quoorum does not sell, rent, or disclose personal data or submitted content to third parties for marketing or commercial purposes.
Any third-party involvement, where necessary for service delivery, is strictly limited, controlled, and subject to confidentiality obligations equivalent to those described in this policy.
Quoorum claims no rights, titles, or interests in the client's original or translated works.
Client content is not used for any purpose other than fulfilling Quoorum's contractual obligations. Quoorum will not use the client's name, the title of a work, or any submitted content for marketing or promotional purposes without the client's prior explicit written consent.
Quoorum's data protection practices are designed to align with the core principles of leading international privacy frameworks, including the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA).
These principles include purpose limitation, data minimisation, controlled access, and the right to request deletion of personal data.
All personal data and submitted manuscripts are processed in Australia. Australia is recognised by the European Commission as providing an adequate level of protection for personal data under applicable EU data protection standards.
Quoorum does not sell personal data, does not act as a data broker, and does not reuse client content for training, benchmarking, or secondary purposes.
Clients may, at any time, request access to their personal data, request correction of inaccurate information, request deletion of personal data or submitted content, or request confirmation of deletion following project completion.

This Privacy & Confidentiality Policy is governed by the laws of Australia, including the Privacy Act 1988 (Cth), and is interpreted in accordance with the laws of Western Australia.
